This Privacy Policy explains how we collect, use, disclose, store, and protect personal information when you use sustainableauthority.com, contact us, subscribe to communications, participate in assessments, attend events, download resources, register for programs, or engage Institute services.

Important Notice: The Institute Is Not a Clinical or Healthcare Practice

The Institute for Sustainable Authority™ provides executive coaching, organizational advisory services, leadership development, education, programs, assessments, events, speaking, resources, and personal and professional development.

The Institute does not provide therapy, psychotherapy, counseling, mental health treatment, medical care, diagnosis, clinical assessment, or other healthcare services through its Institute programs or services.

Participation in Institute coaching, programs, assessments, events, advisory engagements, or other services does not create a therapist-client, patient-provider, or other clinical relationship.

Institute services are separate from any clinical or healthcare services that may be provided by other businesses or professionals.

HIPAA

The Institute does not provide its Institute services as a HIPAA-covered healthcare provider, and participation in Institute services is not intended to constitute a HIPAA-covered healthcare relationship.

Information submitted to the Institute through its website, coaching services, programs, assessments, events, forms, email, scheduling systems, or other Institute platforms should therefore not be treated as protected health information maintained under HIPAA.

Please do not submit medical records, psychotherapy notes, clinical records, diagnoses, treatment information, or other sensitive healthcare documentation through Institute forms, assessments, email, coaching platforms, or other Institute communication channels.

Confidentiality

Although Institute services are not therapy and are not governed as clinical treatment under HIPAA, the Institute takes confidentiality seriously.

Information shared during private coaching, advisory engagements, assessments, consultations, and other Institute services will be handled with discretion and reasonable safeguards designed to protect confidentiality.

We do not intentionally disclose confidential participant or client information except:

• when you authorize or request the disclosure;

• when disclosure is reasonably necessary to provide a service you requested;

• when information must be shared with service providers supporting Institute operations;

• when required by applicable law, court order, subpoena, or other legal obligation;

• when necessary to protect the rights, safety, or security of the Institute or others; or

• as otherwise described in a written agreement applicable to a specific engagement.

Confidentiality in coaching, consulting, education, or advisory relationships is not the same as therapist-client confidentiality, physician-patient confidentiality, or another legally recognized healthcare privilege.

Where an organizational engagement involves an employer, sponsor, or other third party, the applicable agreement may specify what information, if any, may be shared regarding participation, attendance, progress, themes, or outcomes.

Information We Collect

We may collect information you provide directly, including your:

• business or personal email address;

• telephone number;

• professional title;

• organization;

• inquiry details;

• event registration information;

• assessment responses;

• program registration information;

• scheduling information;

• coaching or advisory intake information; and

• other information you voluntarily choose to provide.

We ask that you not provide medical records, psychotherapy notes, clinical diagnoses, treatment records, or other healthcare documentation through Institute services.

If payment is required, payment information may be processed by a third-party payment provider. The Institute does not need to store full payment-card information when the payment provider processes that information directly.

We may also collect technical and usage information through website, analytics, cookie, and visitor-intelligence technologies. This may include IP address, device and browser information, referring source, pages viewed, visit timing, approximate location information, and website interaction data.

For business-to-business outreach, we may receive professional contact information from publicly available professional sources and business data providers. This may include name, job title, employer, business email address, company information, and professional profile information. We use this information for relevant business communications subject to applicable law.

How We Use Your Information

Assessments and Program Information

Institute assessments, questionnaires, exercises, scorecards, audits, and similar tools are intended for coaching, educational, leadership-development, organizational-development, or personal-development purposes.

They are not clinical assessments, psychological testing, diagnostic instruments, medical evaluations, or substitutes for evaluation by a licensed healthcare professional.

Responses may be used to provide feedback, coaching insights, educational recommendations, program support, or organizational analysis consistent with the service you selected.

Communications

You may receive communications from the Institute when you:

• request information;

• submit a form;

• subscribe to communications;

• register for a program or event;

• purchase or engage a service; or

• otherwise request communication from us.

We may also contact professional contacts through lawful business-to-business outreach.

Marketing emails will include a method for unsubscribing where required by law. You may also request that marketing communications stop by contacting info@sustainableauthority.com.

Transactional, contractual, scheduling, administrative, or service-related communications may still be sent when reasonably necessary to provide an active service or respond to a request.

Data Protection

We use reasonable administrative, technical, and organizational safeguards designed to protect personal and confidential information against unauthorized access, misuse, loss, alteration, or disclosure.

However, no website, email system, online platform, database, or electronic transmission method can guarantee absolute security or confidentiality.

We retain information only for as long as reasonably necessary for the purposes described in this policy, to provide requested services, fulfill contractual obligations, meet legal or regulatory requirements, resolve disputes, maintain appropriate business records, or protect legitimate business interests.

The Institute does not sell or rent personal information as a stand-alone business model.

No Therapist-Client or Healthcare Relationship

Use of the Institute website, completion of an assessment, participation in coaching, attendance at an event, participation in a program, communication with Institute personnel, or purchase of an Institute service does not establish a therapist-client, counselor-client, physician-patient, or other healthcare relationship.

Institute services should not be used as a substitute for mental health treatment, medical treatment, crisis services, or other care provided by an appropriately licensed healthcare professional.

If you need medical, mental health, or emergency assistance, contact an appropriate healthcare provider or emergency service.

Policy Updates

We may update this Privacy Policy when our services, technology, legal obligations, or information practices change.
